Administration & HR Senior Officer
ESSENTIAL DUTIES AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential function with or without reasonable accommodation.
HR Personnel:
- To make sure to work in full coordination and cooperation with all departments and team members.
- To comply with & enhance the team work spirit in the department and the organization.
- Review all employment, consultancy and service agreements to local staff and service providers while monitoring performance and compliance to the terms of agreement and in line with the local laws and regulations.
- Ensure all benefits are in place accordance to the HR policy, and that all employees access information and benefits as they are entitled.
- Communicate changes and general reminders to staff regarding various matters as appraisals, leaves, time sheets, and other HR required forms.
- In cooperation with the finance department, work on allocation of staff within the budgets.
- Prepare and review an accurate and timely centralized payroll and sharing it with finance while maintaining strict confidentiality at all times.
- Process approved payments for consultants in coordination with their line managers and finance team.
- Ensure proper entry and regular updates of all employees’ information in the HR data and systems, and reflect it on the monthly payroll.
- Ensure that pay slip information is accurate and released on time.
- Act as the Point of Contact for employees’ regarding all matters related to health insurance and the insurance company.
- Assist in providing coordination between the Human Resources department and other departments in the organization such as Logistics/Procurement, Programs and Security Departments as required.
- To assist if requested in conducting job evaluations and make sure of using consistent position titles, job grades and ranks suitable to the responsibilities.
- Assist supervisors and staff in understanding and using the performance management forms and process procedures.
- To make sure that all staff complete IMC mandatory trainings within the required time frame.
- In coordination with HR manager, prepare summary of performance evaluations, leading to proper review for approval by the senior management team, and leading to action plans on staff movement and/or development plans
- Perform other duties as assigned by Supervisor.
Administrative
- Supervise all of the administrative activities that facilitate the smooth running of the office.
- Manage the clerical staff as Receptionist, and Office Keepers.
- Provide Administrative services to all visitors and guests.
- Supervise the process of issuing visas, residencies, work permits, for all IMC expatriate employees.
- Provide coordination and follow-up services to expatriate employees’ work permit and residency applications in governmental institutions on an as-needed basis.
- Organize the office layout and Hygiene and maintain supplies of stationery and equipment; maintain the condition of the office and arrange for necessary repairs.
- Responsible of arranging people’s stay in Jordan through finding a proper place and within the budget approved.
- Oversee maintenance, supply and cleanliness of the guest houses, if any.
- Supervise and maintain valid registration documents for IMC offices.
- Support the logistics team in getting trainings and workshops offers from different venues.
- Responsible of getting all logistical supplies for IMC office.
- Coordinate the booking of the training room and provide all required supplies, food and beverages.
- Follow up with the lawyers in relation to all issues raised by different departments and making sure all processes are within the local law.
- Booking appointments with outside organizations.
- Perform other duties as assigned by Supervisor.
Skills & Qualifications:
- Bachelor degree with at least 3 years of experience in human resources.
- Familiarity with INGOs/NGOs and/or international experience is a plus; interest in humanitarian field is preferred.
- Familiarity with HR local laws and management including wages, benefits, and employment processes.
- Proven sense of professional discretion, integrity, and ability to manage situations diplomatically and to effective resolution.
- Strong interpersonal, team working, negotiation and leadership skills.
- Approachable, able to form good relationships, and effective organizational skills.
- Strong acumen in establishing positive working relationships with employees and management to maximize cooperation and productivity.
- Recruitment, interview and people skills.
- The ability to work under pressure and with limited resources.
- Ability to effectively present information and respond appropriately to questions from senior management and HQ.
- Approachable, results driven, professionalism, organization & judgment.
- Proficient in computer applications, especially with MS Word, Excel, Power Point a plus.
- Excellent in both Arabic & English.
